Document management, PIM or AI assistant: which one for your technical documentation?
The three tools are often presented as competitors. In fact they answer three different questions: where are the documents, what is the product data, and what is the answer to my question.
Document management: storing and finding documents
A document management system files, versions and shares your documents. It answers the question “where is the document?”. It is essential for controlling versions, but users still have to open the right document and find the information in it.
PIM: structuring product data
A PIM centralises product data (specifications, references, descriptions) to feed catalogues, websites and marketplaces. It answers the question “what is this product’s data?”. It assumes the data has been entered and structured, which is a project in itself, and it does not cover procedures or operating instructions.
The AI assistant: answering the question
A documentation AI assistant reads your documents as they are and answers the question asked, with the source. It answers the question “what is the answer?”, for the technician as well as the salesperson. It replaces neither document management nor the PIM: it builds on the documents they hold.
How to choose
- Your teams cannot find the right version of a document: start with document management
- You need to feed catalogues and websites with clean data: a PIM
- Your teams waste time looking for answers in documents that already exist: an AI assistant
- The three complement each other: the assistant works better when documents are well organised
Where to start
The right starting point is the question your teams ask most often and that takes the most time. If its answer is already written somewhere, a documentation assistant is the fastest way to make it accessible, with no prior restructuring project.
